When I try to retrieve my password get an error: No email address found, contact Alesco Helpdesk.

If you receive the error below, you will need to contact the Alesco Helpdesk and let them know that you received this message so it can be fixed up. What it means is that you do not have an email address recorded in the Alesco database, so the system cannot send you your forgotten password. If you have no email address recorded in the Alesco database you will not receive notification regarding overdue books from the library, and nor will you be able to receive notifications regarding leave, or any automated emails from the Alesco database.

You can ask us to do this by filling in the Contact Us form or send us an email with your name, and staff ID number to the alescohelpdesk@curtin.edu.au mailbox.

Remember that your password and secret answer are both case sensitive.

I am a first time user but when I try using my birthday in DDMMYYYY format I can't get in.

In September 2007 the length of the Kiosk passwords was changed from 6 characters - DDMMYY format - to match the Oasis password requirements of 8-16 characters in preparation for the Staff Portal and single sign-on. From that time on, all birthday passwords in the Kiosk were created as 8 characters - DDMMYYYY format. Staff who commenced with Curtin prior to September had never accessed the Kiosk and their passwords remained in 6 characters. When these people try to login they are not able to do so because the formats do not match.

Please try and login with 6 characters - DDMMYY. If this doesn't work then perhaps you did get into the Kiosk at some stage, and simply forgot. If that is the case, you will need to have your password reset. Please contact the Alesco Help Desk on 4343 or Contact Us through the web form.



I forgot my password. How can I get a new one, or find out what the old one is?

Underneath the login fields to the Employee Kiosk is a link which says Forgot Your Password? If you click on the link it will take you to a page where you can enter your staff ID number and click OK - in a short while your secret question will appear. You would have set up the secret question and answer when you logged into the Kiosk for the first time. This question is meant to be a security question which only you find easy to answer, and which should never change. The answer is case sensitive, so if you are sure you have the answer but it is not working, please try changing the case. If you can answer the question correctly you will have your password emailed to you.

If you are unable to answer the secret question, you will need to contact the Alesco Help Desk on 4343 or Contact Us link and ask for your password to be reset. When you get your new password, please review your secret question and answer.

Examples of good secret question.

1. Mother's maiden name?
2. First pet's name?
3. Name of first girlfriend/boyfriend?

Make sure you don't pick something like - "What is my age? or "What is my favourite colour?" which can change over the years (or on a weekly basis for some).



When I submit an electronic leave request for Sick Leave, what do I do with the Medical Certificate?

Please submit your leave using the Leave Request form, but ensure you fill in the option for Medical Certificate as Yes. You must then give your manager who approves your leave the medical certificate. The manager needs to sign the form to say that it has been sighted, and then send the form to Staff Services where the certificate will be filed against your personnel file. You may keep a copy in the school if required. Please follow the guidelines set down in the appropriate EBA with regards to when you must supply the medical certificate.



When I change my disbursement details it doesn't update the bank to reflect the new bank/BSB.

When you change your disbursements, you cannot delete the top (or first) bank account - instead you must Edit it. Click on the edit button and change the details. Do not worry that you have changed your bank from Citibank to Westpac and the BSB or bank description didn't change. As soon as you finish filling in the form and click on update to submit it you will find that your bank description has changed.



Error! This Employee is not Entitled to this Type of Leave

This error message occurs in the Employee Kiosk for those staff members who have more than one active position, and one of those positions do not attract leave. Depending on the end date of their non-permanent job, the system will attempt to book leave against that position and find that there are no leave accruals and give this message. The system picks the position up by default as it has the closest end date.

To fix this problem, login into the Kiosk, go to the Leave Folder, and then to the top menu option > Active Job Selection. Click on the Job # link of the job you wish to request leave from. From that time on, any leave you book will be debited against that job number. You will need to do this every time you wish to book leave, until your casual or sessional position ends.
